Marketing Coordinator – Springfield Symphony Orchestra
Position Type: Full-Time / 35 hours per week
Reports To: Business Manager
Summary
The Springfield Symphony Orchestra (SSO) is seeking an organized and detail-oriented Marketing Coordinator to lead and manage key marketing operations. This role is focused on planning, coordinating, and executing the orchestra’s marketing initiatives, with a heavy emphasis on project management, collaboration, social media and e-mail marketing campaigns, and keeping all marketing materials and assets aligned. The Marketing Coordinator will oversee weekly marketing meetings, organize all digital and printed collateral, and ensure the fulfillment of sponsor obligations. Additionally, this role will support the SSO’s digital presence through blog posting, WordPress updates, and managing on-site digital assets prior to each concert.
Key Responsibilities
Marketing Coordination
- Plan and lead weekly marketing meetings to ensure all initiatives are on track, deadlines are met, and priorities are clear.
- Organize and manage all marketing materials for both print and digital platforms, ensuring consistency and alignment with the SSO’s branding and messaging.
- Coordinate the production of printed and digital collateral, including posters, flyers, brochures, social media assets, and concert programs.
- Work with external graphic design vendors to ensure timely delivery of high-quality materials, reviewing drafts and providing feedback to align with SSO’s goals.
- Fulfill sponsor marketing obligations, ensuring sponsor recognition in relevant print and digital channels.
- Ensure all on-site digital assets (e.g., concert screens, signage) are updated before each performance, working closely with venue staff.
Content & Digital Marketing
- Post and update content on the WordPress website, including blog posts, conductor and performer bios, and concert details.
- Collaborate with internal and external teams to ensure timely updates of all digital platforms.
- Manage social media content creation, distribution, and strategy across platforms (Facebook, Instagram, LinkedIn, etc.).
- Write and distribute email newsletters via Constant Contact, ensuring timely updates on events, concerts, and special announcements.
Vendor & Project Management
- Manage relationships with external vendors for digital advertising, graphic design, and printing needs, ensuring that all projects are delivered on time and within budget.
- Coordinate sponsor-related marketing activities, including ensuring sponsor logos and acknowledgments appear in print materials and digital communications.
- Track project timelines and ensure all materials (digital and print) are in place prior to marketing deadlines.
Audience Engagement & Reporting
- Assist with community outreach efforts and support audience engagement initiatives to attract and retain new audiences.
- Track and analyze marketing campaign performance, including email open rates, social media engagement, and ticket sales conversions, adjusting strategies as needed.
- Provide regular reports on marketing performance to ensure alignment with organizational goals.
Qualifications
- Bachelor’s degree in Marketing, Communications, or a related field.
- Minimum of 2 years of experience in a marketing coordination or project management role, preferably within the arts or non-profit sector.
- Strong organizational and project management skills with attention to detail.
- Experience coordinating marketing materials and managing vendor relationships.
- Proficiency in social media management, email marketing platforms (Constant Contact), and WordPress.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a collaborative team.
- Familiarity with graphic design principles and working with designers is a plus.
Preferred Skills
- Experience with analytics tools such as Google Analytics.
- Basic knowledge of Adobe Creative Suite (Photoshop, Illustrator, InDesign) and Canva.
- Passion for classical music and the performing arts.
